How to Shop for a Real Estate CRM in 2026: Five Questions That Cut Through the AI Marketing

Shopping for a real estate CRM in 2026 means wading through a wall of nearly identical claims. Everything is “AI-powered.” Half the industry now says “agentic.” The demos all show the same thing: a chat box that writes a follow-up email while the sales rep smiles.

We sell a CRM, so read this with that in mind. But we’d rather you shop with sharp questions than buy anything — including ours — on vibes. These are the five that actually separate platforms, based on what we see agents discover only after they’ve signed.

1. What does the AI actually do without me?

“AI-powered” covers everything from a genuine autonomous agent to a template picker with a new label. Make the vendor be specific: does the AI initiate work — scoring your database overnight, drafting follow-up before you asked, flagging a deal that’s gone quiet — or does it wait for you to open a chat box and ask? Both can be useful. They are not the same product, and they should not command the same price.

A useful follow-up: “Show me what the AI did for an agent yesterday, without that agent asking for anything.”

2. What’s included, and what’s metered?

The advertised price and the working price can be very different numbers. The questions that surface the gap: Is the AI included in the base plan, or is it an add-on? Is it metered — per lead, per conversation, per “credit”? Are there setup fees? If the platform manages ad spend, what percentage do they take? What does the bill look like at your volume, not the demo’s volume?

3. Who owns my database — practically, not legally?

Every vendor will tell you the data is yours. The practical test is different: what leaves with you if you cancel? Ask for the specific export — contacts, notes, conversation history, deal records — and in what format. Ask whether your data trains models that serve other customers, including your competitors across town. Ask what happens to the automated sequences and scoring you’ve built.

4. Where do my leads come from — and does the answer depend on this vendor?

Some platforms bundle lead generation: they run your ads, host your website, and sell you lead flow alongside the CRM. That’s genuinely convenient, and it means your pipeline’s front end and back end live with one vendor. The question to ask yourself is what happens if you ever want to change either half. Can you swap lead sources freely? Can you keep the database if you drop the lead product?

There’s no universally right answer — but you should choose the dependency on purpose, not discover it at cancellation time. Our own bet is deliberately source-agnostic: buy leads wherever the math works, and own the machine that works them.

5. Can I test it on my real business before I commit?

The demo database always looks great. The only test that matters is your data: import your actual contacts, connect your actual inbox, and see what the platform finds in the first week. The practical questions: Is there a free trial? Does it need a credit card? Is there a contract, and how long? How fast is setup — same day, or a quoted onboarding program?

A platform confident in its product will let you run this test cheaply. A platform that needs a signed annual contract before you see your own data in it is telling you where the leverage sits.
