Theia Vault vs Follow Up Boss:
the hardest comparison we publish.

Follow Up Boss is a genuinely good CRM with transparent pricing, huge integration support, and a devoted following — this isn't a page where we pretend otherwise. The real difference is what the software does while you're not looking: FUB is a CRM you operate, and Theia Vault is a fleet of agents that operates for you.

Assistive AI vs agentic AI

This is the actual fork in the road, and it's worth stating precisely rather than dismissively. Follow Up Boss has real AI features: Smart Summaries condense call and contact history, Suggested Tasks propose next steps, Smart Messages draft texts and emails based on what a lead just did, and predictive prioritization tags surface high-intent leads. All of it is currently included at no extra charge, though some of it depends on their paid Calling feature.

Every one of those features makes you faster. They suggest; you decide and send. That's a legitimate design choice, and if you like being hands-on with every message, it's arguably the better one.

Theia Vault is built on the opposite premise: that the follow-up which never happens is the real problem, and the fix is agents that do the work rather than suggest it. Every night, every contact in your database gets re-scored on real engagement. Outreach gets drafted in your voice, personalized to where that person sits in the deal, and sent from your own Gmail or Outlook. Deals get watched, stalls get flagged. You quarterback and approve — you don't compose.

Where Follow Up Boss is genuinely stronger

  • Integrations. 250+ advertised, versus our deliberately short list. If your business runs on a wide stack of connected tools, FUB is the safer hub.
  • Price at the entry point. $69/user/month on Grow is less than our $149, and for a five-agent team the gap is real money.
  • Track record and ecosystem. They're the default CRM for many of the highest-volume teams in the country, with the training material, consultants, and community that come with that.
  • Zillow lead integration. Zillow Group has owned FUB since December 2023, and if Zillow is your primary lead source that connection is tight.

We'd rather you know all of that from us than discover it after signing up. If the list above describes your business, Follow Up Boss is a strong choice and you should take their trial.

Where Theia Vault is different

Theia Vault includes things that aren't in FUB's model at all: AI that drafts and sends your follow-up rather than suggesting it, nightly re-scoring of your entire database, and — for lenders and LO teams — document intelligence that reads a full loan package, calculates income, cross-checks documents against each other, and generates the condition list.

There's also the independence question. FUB is operated by Zillow Group, a portal that sells leads. Theia Vault is independent, and your data stays in your tenant, never trains another customer's AI, and is exportable whenever you want it. Whether that matters is your call — but it's a difference worth naming.

Choose them if

You want a great CRM you drive

  • You want the widest integration ecosystem in the industry.
  • You prefer AI that suggests while you stay hands-on with every message.
  • Zillow is your main lead source, or entry price per seat is the deciding factor.

Choose Theia Vault if

You want the follow-up to happen without you

  • Your problem isn't organizing leads — it's that nobody has time to work them.
  • You want outreach drafted and sent in your voice, and your database re-scored nightly.
  • You're a lender or LO team that needs loan documents read and calculated, or you want a CRM not owned by a lead portal.

Frequently asked

How much does Follow Up Boss cost?

Follow Up Boss publishes its pricing: Grow is $69 per user per month, Pro is $499 per month for 10 users, and Platform is $1,000 per month for 30 users. Annual billing gives two months free. A calling and texting add-on is $39 per user per month on Grow; Pro and Platform include calling. There's a 14-day free trial with no credit card, and no contracts or setup fees.

Is Theia Vault cheaper than Follow Up Boss?

It depends on your size. For a solo agent, Follow Up Boss Grow at $69/user/month is less than Theia Vault's $149/month — though adding their dialer brings it to $108. For a team of five, Grow runs $345/month versus $645/month for Theia Vault. The honest framing: FUB can be the cheaper line item. What you're weighing is whether AI agents doing the follow-up work is worth the difference to you.

Does Follow Up Boss have AI?

Yes, and it's worth being precise about what it does. FUB advertises Smart Summaries (in beta), Suggested Tasks, Smart Messages that suggest texts and emails based on lead activity, and predictive lead prioritization that surfaces high-intent leads with AI-powered tags. These are assistive features — they suggest and surface, and you act. Theia Vault's model is agentic: the agents draft and send the follow-up, re-score the database nightly, and work the pipeline, with you approving rather than composing.

Who owns Follow Up Boss?

Zillow Group acquired Follow Up Boss in December 2023. That's a fair thing to factor in either direction: it means deep integration with Zillow lead data, and it means your CRM is operated by a portal. Theia Vault is independent, built by GAIA Labs, and isn't tied to any lead portal.

Which has better integrations?

Follow Up Boss, clearly. They advertise 250+ integrations and are the industry's default hub CRM for large teams — if your stack depends on many connected tools, that's a real advantage they have over us. Theia Vault connects natively to Gmail and Outlook and we only list integrations that are live and working today.

Can I try both?

Yes, and you probably should. Both are month-to-month with a free trial and no credit card required, so you can run them side by side on the same database for a couple of weeks and see which one actually moves your pipeline.
